So I'm just back from the RecOpsCon in Chicago where I has the pleasure to meet some of the smartest RecOps professionals in the world, all organised by the irrepressible Jeremy A Lyons of the RecOps Collective. If you don't know him, connect with him, he's one of the most generous human beings in recruitment. and definitely follow the RecOps Collective, they publish really really useful articles on what's what in Recruitment Operations.
So my role for the past 6+ years has been to embed into startups and get them ready to recruit at scale, with high quality, diversity and efficiency in mind. So there is a solid overlap between what I do and RecOps.
In my humble opinion, RecOps is more than a buzzword. It’s the structure that keeps your recruitment process running smoothly, sustainably, and with a whole lot less friction.
If your team feels more like it’s putting out fires than making real progress, chances are you need RecOps.
So let’s dig into what RecOps does, why it’s essential, and some practical tips to get things up and running in your team. (stay till the end for food recommendations on Chicago)
1. RecOps Brings Order to the Chaos
Recruiting can get messy, especially in fast-growing companies where priorities change by the minute. RecOps is like the organiser-in-chief, helping keep workflows streamlined so your team can focus on high-value tasks instead of admin overload.
Luke's juicy tips : Start with a basic map of your entire recruitment process, from first contact to hire. Look for common issues like communication delays, inconsistent interviews, or duplicate efforts. Once you know where things are going off track, you can set up workflows to tackle those areas. Automation tools can help standardise the process and take some of the heavy lifting off your team’s shoulders.
2. Better Data Quality and Consistency
It’s all well and good to want a data-driven approach, but let’s face it, garbage in equals garbage out. RecOps is there to make sure you’re capturing clean, relevant data that can actually help you make better hiring decisions. It turns raw data into actionable insights that can take your hiring strategy from good to great.
Luke's juicy tips : Focus on core metrics and keep it simple: start by tracking how many candidates move through each stage, and note where drop-offs happen. Over time, this helps you fine-tune your process and make data-backed adjustments.
3. Creating a Consistent Candidate Experience
One of the underrated perks of RecOps? It’s great for candidate experience. By defining each step in your hiring process and setting SLAs, RecOps ensures candidates don’t fall through the cracks or end up in limbo. This is what separates great recruitment teams from ones that candidates ghost at the last minute.
Luke's juicy tips : Document the candidate journey from start to finish. A flowchart is awesome for visualising every step and noting SLAs along the way. Tools like Lucidchart make it easy to create and share this map, so everyone on your team is clear on what needs to happen when.
4. Raising the Bar for Quality Hires
You get clear insights into where your top candidates are coming from, how long it’s taking them to make it through the process, and what’s working (or not) in getting them to say yes.
Luke's juicy tips : Make it a habit to assess the effectiveness of each sourcing channel and interview method. If you’re seeing high conversion rates from one source and low from another, shift your focus accordingly. RecOps data is a goldmine for figuring out what works and what doesn’t.
5. Building a Scalable, Data-Driven Strategy
Ultimately, RecOps is all about creating a hiring process that can scale as your business grows. It’s easy to get lost in quick-fix mode when you’re swamped with open roles, but RecOps lets you take a step back and build a sustainable process that’s ready for whatever comes next.
Luke's juicy tips : Treat recruitment metrics like KPIs. Regular check-ins with hiring managers ensure that recruitment targets are aligned with business goals. Make RecOps an ongoing part of your team’s workflow, not a one-off project.
So...
RecOps isn’t just about keeping the backend of recruitment organised. It’s a critical function that supports your whole talent acquisition strategy. If you’re serious about scaling your recruitment process and building a high-performing team, it’s time to make RecOps a priority!
